Privacy Policy
DanceMantra Inc is committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles. This policy explains what we collect, why, and what you can ask us to do about it.
What we collect
Names, contact details, emergency contacts, suburb, and — only where a program requires it — relevant health or accessibility information you choose to share so we can run a session safely. For volunteers working with young people we record the status and expiry of a Working With Children Check. We collect newsletter subscriptions and enquiry messages submitted through this website.
Why we collect it
To run classes, contact you about sessions and changes, meet our duty of care and insurance obligations, acquit grant funding with aggregate (never identifying) participation figures, and keep the member register required of an incorporated association in South Australia.
Sensitive information
Health information is collected only with your consent, only where necessary, and is accessible to the session facilitator and the relevant committee member. It is never used for marketing and never included in grant reporting.
Disclosure
We do not sell, rent or trade personal information. We disclose it only where you have consented, where it is needed for an emergency response, or where we are required by Australian law. Our website is hosted and our email is handled by third-party service providers who may store data outside Australia; we take reasonable steps to ensure they handle it consistently with the Australian Privacy Principles.
Storage and security
Paper records are held in a locked cabinet in the Everard Avenue office. Digital records are held in password-protected accounts accessible to the Secretary, Treasurer and Chairperson. We destroy or de-identify records seven years after your last contact with us, except where the law requires longer retention.
Access, correction and complaints
You may ask to see what we hold about you, correct it, or have it deleted. Write to the Secretary at selene.green710@gmx.com or 48 Everard Ave, Keswick SA 5035, Australia, or call +61 8 8419 7023. We respond within 30 days at no charge. If you are unhappy with our response you may complain to the Office of the Australian Information Commissioner at oaic.gov.au or 1300 363 992.

This website stores your chosen language preference in your browser's local storage. We do not run advertising trackers or third-party analytics profiling. Embedded map content is served by Google and subject to Google's own privacy terms.
Terms of Service & Community Code of Conduct
By taking part in a DanceMantra session, event or online service you agree to these terms. They exist to keep the floor safe and welcoming, not to catch anyone out.
Participation
Sessions are open to all ages and abilities unless a specific age range is stated. Participants under 16 must be signed in by a parent or guardian who remains contactable. Follow the reasonable directions of instructors and floor staff, particularly around safety and the use of the sprung floor.
Code of conduct
Treat every person in the room with respect. We do not tolerate discrimination or harassment on the basis of race, ethnicity, cultural or religious background, disability, age, gender, gender identity, sexuality, or income. Ask before touching anyone, including in partner work. Photographs and video may only be taken with the explicit consent of everyone in frame; at showcases we run a lanyard system so people can opt out.
Fees, cancellations and refunds
Fees are payable at the session unless arranged otherwise. Fee waivers are available on request without documentation or explanation. If we cancel a session we will refund or credit the fee. If you cancel a paid workshop with more than 48 hours' notice we will refund in full; inside 48 hours we will credit you to another session.
Health, safety and liability
Dance carries a risk of injury. Tell us about relevant health conditions and work within your limits. DanceMantra Inc holds public liability insurance; to the extent permitted by law, and without excluding your rights under the Australian Consumer Law, we are not liable for injury or loss arising from your voluntary participation beyond your reasonable capacity.
Suspension of participation
Behaviour that endangers or intimidates others may result in a person being asked to leave. Any suspension beyond a single session is decided by the committee, in writing, with a right of reply at the next committee meeting.
Website content and governing law
Text, photographs and program materials on this site remain the property of DanceMantra Inc or the artists who created them. These terms are governed by the laws of South Australia.
Child Safety & Inclusivity Policy
DanceMantra Inc is a child safe organisation. We are committed to the National Principles for Child Safe Organisations and comply with the Children and Young People (Safety) Act 2017 (SA). Children and young people have a right to be safe, listened to and taken seriously in every part of our work.
Screening and supervision
Every staff member, instructor, committee member and volunteer in contact with people under 18 holds a current Working With Children Check issued by the SA Screening Unit, recorded and monitored for expiry by the Volunteers Coordinator. No adult is ever alone and unobserved with a child: youth sessions always run with at least two screened adults present, and the hall doors stay open.
Reporting
All our people are trained in their obligations as mandated notifiers. Any concern about a child's safety is reported immediately to the Child Abuse Report Line on 13 14 78, and to SA Police on 000 where there is immediate danger. Internal concerns may be raised with the Chairperson or, where the concern involves the Chairperson, directly with our independent Child Safe adviser. Reporting in good faith never affects a person's standing with the organisation.
Listening to young people
Youth participants are asked each term what is and isn't working, and two youth representatives are invited to observe committee meetings. Complaints from children are recorded and answered in writing in language they can read.
Inclusivity
We are an accessible venue: step-free entry, one-level access to the hall, Studio Two and the accessible bathroom, two accessible parking bays, and seated variations in every session. Interpreters, Auslan and translated materials are provided free on request. LGBTIQA+ participants are welcome, addressed by their name and pronouns, and may use whichever bathroom they choose. Fee waivers exist so income never determines access.

DanceMantra Incorporated (ABN 28 442 314 485) is an incorporated not-for-profit association registered in South Australia under the Associations Incorporation Act 1985 (SA), with its registered office at 48 Everard Ave, Keswick SA 5035, Australia.
Not-for-profit character
Our constitution provides that income and property are applied solely to the promotion of our objects. No portion is paid or transferred, directly or indirectly, to members — except as genuine reimbursement of expenses, or payment at fair market rates for services actually rendered (for example, a teacher engaged to run a class). On winding up, surplus assets pass to another not-for-profit with similar objects, as required by our rules.
Governance
A committee of six is elected annually by members at the October Annual General Meeting, holds office for one year, and meets monthly. Committee roles are voluntary and unpaid. Members must declare any conflict of interest and abstain from the relevant decision; declarations are recorded in the minutes. Minutes are displayed on the hall noticeboard and emailed to members.
Financial controls
All payments above $500 require two authorising signatories. Donations, session fees and grant income are banked weekly and reconciled monthly by the Treasurer. Annual financial statements are prepared by the Treasurer, independently reviewed by Renshaw & Co (Adelaide), and tabled at the AGM alongside the annual report. Grants and funding
We receive project funding from local and state government programs and from community donations. Grant funds are held against dedicated budget lines and acquitted in line with each funding agreement, using aggregate participation data only. We decline funding that would require us to charge participants who cannot pay.
Tax status
DanceMantra Inc is income tax exempt as a not-for-profit community organisation and lodges an annual self-review return with the Australian Taxation Office. We are not currently endorsed as a Deductible Gift Recipient, so donations are not tax deductible. We state this openly on every donation page.
