The Bangladesh Cultural Association In Malta (Voluntary Organisation Number VO/1448), of 23 Triq Il-Kapuccini, Il-Furjana, Malta, is the controller of the personal data described in this policy. We handle personal data in line with the General Data Protection Regulation and Maltese data protection law.
1. Data we collect
We collect the name and contact details you give us when you contact us, apply for membership, register for an event, request support or volunteer. In support cases we may record the nature of the request and any correspondence needed to assist you. We also hold photographs taken at our public events.
2. Why we use it
To reply to enquiries; to administer membership and the register of members; to organise events and programs; to provide and follow up community support; to keep the records required of a voluntary organisation; and to report on our activities in aggregate, non-identifying form.
3. Legal bases
Consent (for example for newsletters, testimonials and photographs), the performance of our commitments to members, our legitimate interest in running the association, and compliance with legal obligations applicable to voluntary organisations in Malta.
4. Sensitive information
Where a support case involves health, religious or similar sensitive information, we record only what is necessary, with your explicit consent, and restrict access to the volunteers directly assisting you.
5. Sharing
We do not sell personal data. We share it only with your consent, with service providers acting on our instructions, or where required by law or by a competent authority. Referrals to clinics, schools, lawyers or public offices are made only with your agreement.
6. Retention
Membership and financial records are kept for as long as required by law and for the association's accountability. Enquiry and support records are kept only as long as necessary, and photographs are removed from our website on request.
7. Security
Records are held on access-restricted accounts and devices used by designated office holders. Paper records are kept securely at the registered address. Volunteers are instructed to treat community information as confidential.
8. Your rights
You may request access to your data, correction, erasure, restriction of processing, portability, and objection to processing, and you may withdraw consent at any time. To exercise these rights, write to us using the contact details below. You also have the right to lodge a complaint with the Information and Data Protection Commissioner in Malta.
9. Children
Personal data concerning children is processed only with the consent of a parent or guardian, and photographs of children are published only with that consent.
